What we collect through our contact and quote form

When you send us a message through our contact form we receive:

  • your name and email address (required);
  • your company name, telephone number and address (town, post code), if you choose to give them;
  • the subject (sales, support, complaint or other), the priority you choose and your message.

The form is sent to us by email. To stop spam, our website also keeps a one-way scrambled (hashed) version of your IP address with the times of recent submissions, and records your IP address in our server log if a message is blocked as spam. Like most websites, our server logs also record visitors' IP addresses for security. We do not use these to identify you.

If you become a customer we also hold the details we need to quote for, install, maintain and monitor your system and to bill you, such as site address, contact details, system details, keyholder details you give us, and payment and invoice records.

Why we use it and our lawful basis

  • Keeping records after the work ends, and website analytics: our legitimate interests in dealing with any questions, warranty claims or disputes, and in understanding how our website is used so we can improve it (Article 6(1)(f)).
  • Marketing cookies: your consent (Article 6(1)(a)), which you can withdraw at any time on our cookie policy page.

How long we keep it

  • Enquiries that do not lead to work: deleted after 12 months.
  • Customer records: kept for 6 years after our last work for you or the end of your contract, to meet HMRC and VAT record-keeping rules and the 5-year prescription period under Scottish law.
  • Website analytics data: kept for 14 months.
